Operations Manager

SUMMARY OF JOB SCOPE & RESPONSIBILITIES
The Operations Manager is responsible for overseeing the museum’s daily operations, ensuring smooth coordination between internal teams and external contractors in finance, human resources, information technology, and facilities. This role serves as the primary liaison between museum staff and contracted service providers, ensuring that operational needs are met efficiently and effectively. The Operations Manager will play a critical role in optimizing resources and ensuring that all operational functions support the museum’s overall strategy, mission, vision, and goals.

ESSENTIAL JOB FUNCTIONS
1. Financial & Administrative Oversight (40%)
• Supervises finance, accounting, and audit contractors, ensuring timely budgeting, financial reporting, and adherence to best practices in nonprofit financial management.
• Performs bookkeeping duties, manages transaction records, and coordinates financial information sharing with accountants and auditors.
• Manages all centralized purchasing for the museum, including sourcing, ordering, and maintaining inventory of supplies, equipment, and services in alignment with museum’s policies and budgetary guidelines.
• Assists with financial analysis to support decision-making by the Director and Board.
• Oversee contract management and ensure compliance with all vendor agreements.
2. Cross-Departmental Coordination (30%)
• Act as the primary liaison between museum staff and external contractors to ensure that operational needs are met efficiently, including approval of work orders, ensuring they align with respective program budgets, and that follow-up payments are processed.
• Support leadership in long-term strategic planning for museum operations.
• Assist with special projects and operational improvements as needed.
3. Human Resources Coordination (10%)
• Work closely with the human resources contractor to ensure compliance with employment regulations, payroll processing, and staff onboarding/offboarding.
4. IT Coordination (10%)
• Serve as the primary liaison between museum staff and the IT contractor, ensuring that technology needs are met and that systems remain secure and up to date.

JOB QUALIFICATIONS
Necessary Education or Work Experience
• Bachelor’s degree in business administration, nonprofit management, museum studies, or a related field (or equivalent experience).
• 2+ years of experience in operations management, nonprofit administration, or a related role.
• Strong budgeting, financial oversight, and contract management experience.
• Knowledge of human resources practices, including compliance with labor laws.
• Familiarity with museum or cultural institution operations preferred.
• Excellent communication and problem-solving skills to liaise effectively between staff and contractors.
• Ability to manage multiple projects and deadlines in a dynamic environment.
• Experience with IT coordination and vendor oversight is a plus.
• QuickBooks experience (preferred)

Archivist

SUMMARY OF JOB SCOPE & RESPONSIBILITIES
The Wenham Museum seeks a detail-oriented, organized, and motivated Archivist to join the team for a Community Preservation Act-funded project aimed at preserving, archiving and cataloging the Town of Wenham’s historical resources and sharing Wenham’s history with the public. The assistant will play a key role in cataloging, archiving, photographing, and adding historical records to the Wenham Museum’s collections database and online collection website.

ESSENTIAL JOB FUNCTIONS

  1. Cataloging and Photographing Historical Records:
    o Catalog approximately 1,000 historical items related to Wenham, including maps, business ephemera, ledgers, and cemetery records.
    o Take high-quality photographs of each item, ensuring that details and condition are accurately captured.
    o Enter item metadata (e.g., title, date, location, condition, description) into the Wenham Museum’s Collections Database.
  2. Cross-referencing and Quality Assurance:
    o Ensure consistency and accuracy across all catalog entries, cross-referencing with existing records when applicable.
    o Identify and correct inconsistencies, missing information, or data errors.
    o Adhere to metadata and photography standards set in the project guidelines to ensure uniformity.
  3. Public Access and Digital Preservation:
    o Add cataloged and photographed records to the Hub website linked to the Wenham Museum’s website, improving public access to Wenham’s historical materials.
    o Support the goal of creating a publicly accessible inventory of historical resources.
  4. Collaboration and Support:
    o Work closely with project supervisors to ensure cataloging and photography procedures align with project objectives.
    o Assist in training and guiding volunteers or other staff in cataloging and photography techniques when needed.
    o Provide feedback on the project workflow to help streamline processes.

JOB QUALIFICATIONS

  • Master’s degree in Library and Information Science, Archival Studies, or a related field.
  • Certification by the Academy of Certified Archivists (ACA) preferred.
  • Minimum of 2-5 years of experience working in an archival setting, preferably within a museum or historical institution.
  • Proficiency in archival description standards (e.g., DACS) and experience with Collections Management Systems (CatalogIt preferred).
  • Strong experience in physical and digital preservation, including archival housing and rehousing.
  • Familiarity with oral history methodologies and best practices.
  • Demonstrated ability to manage projects independently, including overseeing interns or volunteers.
  • Excellent organizational, communication, and research skills.
  • Experience in photographing archival materials, with an understanding of best practices for preservation.

Archivist (PFA)

SUMMARY OF JOB SCOPE & RESPONSIBILITIES
The Wenham Museum seeks a highly motivated and experienced Archivist to lead a transformative project focused on the Patton Family Archive (PFA). This role is responsible for developing a sustainable archival framework, improving collection cataloging and access, and rehousing materials to ensure long-term preservation. The Archivist will work closely with museum staff, volunteers, and stakeholders to enhance the management and visibility of the collection.

ESSENTIAL JOB FUNCTIONS

  1. Archival Management & Policy Development
    o Develop and implement collection management policies, including acquisition, access, and digitization policies, in collaboration with the Museum’s Collections Manager.
    o Establish a sustainable archival framework that integrates with the museum’s existing archival program.
    o Conduct oral histories with key staff, volunteers, and past interns to document the institutional knowledge of the collection.
  2. Cataloging & Rehousing
    o Apply and refine cataloging policies in CatalogIt to enhance usability and searchability.
    o Create a hierarchical arrangement for the collection to improve accessibility and research potential.
    o Organize and rehouse the core collection, ensuring materials are appropriately stored using archival-quality materials.
    o Oversee installation of new shelving and storage solutions to enhance collection accessibility and security.
  3. Collection Relocation & Institutional Partnershipso Develop and execute a comprehensive plan for relocating portions of the archive from the Patton Homestead to secure storage or partner institutions.
    o Identify and engage with potential acquiring institutions, updating inventories and documentation as needed.
    o Work closely with museum leadership to prioritize materials for retention, sale, donation, or off-site storage.
  4. Public Engagement & Digital Initiatives
    o Collaborate with museum staff to develop strategies for public access, including potential exhibitions and online content.
    o Assist in the process of digitization, particularly for high-risk materials, and oversee the process for digital preservation.
